Office and Team Administrative Assistant

Location: NYC

Rocket Pharmaceuticals Inc. an emerging Gene Therapy Company is seeking an experienced and motivated Office and Team Administrative Assistant who understands the details of remaining organized, is fluent with excel, outlook, and who can think strategically, resourcefully and efficiently to know and anticipate the team’s needs.

Energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative and support related tasks and able to work independently with little supervision.

The primary responsibilities for this position are broken down into three categories, and are not limited to, the following:

Office Management:

  • Proactively order office supplies (paper, toner, amazon items etc.)
  • Manage food & drink orders for two locations and stock pantry appropriately
  • Add visitor information to security and warmly greet guests upon arrival
  • Sort and distribute incoming mail, and prepare outgoing mail via FedEx/UPS/USPS
  • Monitor and direct incoming phone calls and correspondence
  • Execute monthly corporate and Executive expenses using Concur Solutions
  • Maintain office cleanliness and manage cleaning services
  • Oversee weekly water delivery/unpacking/and stocking
  • Work closely with The Empire State Operations team to ensure all heating/cooling and appliances are regulated and working properly

Team Administrative Assistant:

  • Organize monthly Birthday celebrations and ad hoc team events
  • Troubleshoot IT related issues
  • Assist Associate Director of General & Administrative Operations with new hire set up and implementation
  • Support various teams cross-functionally on a variety of tasks; remain flexible to teams changing needs

Conference Scheduling and Meeting Planning:

  • Travel accommodations and single/group registration
  • Proactively schedule weekly and monthly recurring meetings including; GPTs, Clinical Regulatory meetings, and Breakfast Lunch and Learns, working with business partners and executives to ensure all schedules align
  • Facilitate catering on an as needed basis
  • Assist in the coordination and planning of board related meetings and team event set up
  • Maintain filing systems; working with and securely maintaining confidential information
  • Arrange WebEx capabilities, computer set up, and dial in information
  • Manage WebEx licenses

Job Requirements and Essential Skills:

  • 3-5 years of administrative experience
  • Excellent written and verbal communication skills
  • Positive can-do attitude
  • Highly organized and detail oriented
  • Ability to use a variety of office software (Microsoft Office, Word, Excel, PowerPoint, Adobe Pro, Slack and Concur a plus)
  • Excellent time management skills
  • Ability to prioritize tasks
  • Flexibility and adaptability to change
  • Ability to take initiative and work independently while in an open space environment
